Sametime Quick Tip: Automatically Save Chat Transcripts


During the course of the day, I tend to receive a lot of important information through instant messaging. People often send me URLs, phone numbers, action items, deadlines, screen shots, files and more. Therefore the ability to save - and search - my chat transcripts is extremely important. While Sametime will let me save individual chats through the File Menu, I prefer to have it save all of them for me automatically.

To do this, enter the Sametime Preferences Panel and select Chat History as indicated below. Then, set the default action to "Automatically save chats." You can determine where the chat histories should be stored, how long they should be kept and see how much space they take up on your hard drive.

One other plus is that when you open a chat window, Sametime will fill in the recent chat history for you. This is helpful in maintaining the context of the conversation over time.

    But what about enabling or setting those settings like chat history or popup windows for all users automatically? Every user has to set this by his own?

    Hi Matthias,

    Right now, these are configurable by the user. I'd have to look into whether you can set these by default.

    Hi John,

    Do you know where domino gets the default value for the "save to local file" parameter?

    We are upgrading all users (1600+) from R5 to R8 and it is defaulting to the local drive ie "c:\documents and settings\ ..".

    How would I change this to make it the users notes data folder on the network by default? It doesn't seem to be in the notes.ini or plugin_customization.ini file?

    Any help appreciated.

    How to increase day limits (Transcript Delete Days limit) ??

    In my Machine it always show 1 days limit and eod it deletes all my chat transcripts :(((

    tell me how to change it to 365 days

    Hi Nitin.

    Go to Preferences -> Chat History. Adjust the value next to "Delete saved transcripts after this number of days." That's it.

    Hi Rakesh,

    Two thoughts. One, uncheck the box next to that option in preferences. Then Sametime won't delete the transcripts. Two, change the value in the box to something higher than 365 days.

    What can i do if i would like to avoid the 365 days limitation regarding chat history delete? Why is this limit?

    Hi - The 365 day limit is something that can be configured by administrators (it's there as an option for companies that have retention policies that they need to enforce for IM like they might for e-mail). I'd suggest reaching out to your administrator regarding the deployment in your company.

    Hello Adam,

    I too face the same problem stated by "Kath".

    I accidentally delete the transcripts and not able to see it in Recycle bin.

    Kindly share the recovery method if you are aware of it.

    Hi,

    My apologies for the delay in responding. I've checked with the current Sametime product manager, and he explained that the design of the system is to bypass the recycle bin when chat transcripts are deleted (for security purposes).

    Sorry that I don't have any other suggestions.

    When I try to set Sametime to automatically save chat transcripts, I get the following message:

    Note:you do not have permission to automatically save chat transcripts.

    It sounds like your administrator may have disabled that feature. I'd suggest reaching out to them.

    Hi Adam,

    Is there a way that i save the history and it does not reflect in the chat window. And if i wanna see the history i can check it from somewhere else than the chat window for that user.

    My apologies if I'm not understanding your question properly, but if you go into Preferences/Chat History you can have Sametime automatically save transcripts, but uncheck the box to display the saved transcript for the current day. In order to view the saved transcripts, you can go select File/Open Chat History to see the history. (The history is also saved as an html file in the file location you designate in the preferences, so you can search or navigate to your saved chat folder and view the files in a browser, as well, if you prefer.)

    Unfortunately, if you hadn't already turned on the Save Chat Transcript feature, those chats are gone. (The only exception would be if your company is logging chats on the server side, but even that is likely a long shot in terms of being able to go back and retrieve a specific chat from a specific day.) Sorry.

    So if a chat occurs and I close the window, but do not save the conversation there is text data on the hard drive or computer at all that can be retrieved?

    If you already had Automatically Save Chat Transcripts turned on in the preferences, then there will be a file saved on your hard drive (at the location specified in the preferences) with the text of the chat. If it wasn't already turned on, then nothing will have been saved.

    My Sametime Chats are saving in directory I specified but all the pictures and screenshots are going on to my desktop ? How do I fix so that tehy go in the chat directory.

    The option for enabling saving chat transcripts is greyed out and I can't turn it on for saving the chats, what do I need to do?
